        Efficient property management

        Management of buildings and objects

        MCA Estate allows you to manage all your building data. The building file includes the address of the building, the names and contact details of the various parties involved in the building (owner, janitor, manager), the list of rental properties or condominiums, insurance, maintenance contracts and work history, the owner’s bill and the heating bill.

        You can also manage all data relating to rental or PPE properties, such as descriptive information (floor, surface area, volume), rental history, work history, etc.

        Rental property management allows you to list vacant properties in order to publish advertisements.

        Management of mandates

        MCA Estate also allows you to manage client/owner data. The owner file compiles important information such as contact details, bank details, associated properties, insurance and the rates set for management fees and works.

        You create your mandate contracts, specifying the duration and start date of management, and monitor your mandate files by managing renewals and terminations.

        Rent and charges

        MCA Estate automatically calculates rent adjustments based on current bank rate indices.

        The software also adjusts expenses by automatically calculating the difference between the amount of expenses paid and the actual amount of expenses. It is then used to draw up a statement of charges for the tenant and to send reminders of charges if the tenant needs to regularise the situation.

        Lease management

        MCA Estate also facilitates the management of tenant data. The tenant file compiles all the important information about the tenant including contact details, bank details and the lease agreement.

        You ensure the management of the tenants’ files, with the handling of the lease contract and any associated deadlines, the inventory of fixtures, the works in progress, the rent and service charge payments, as well as any requests from the tenant such as maintenance requests.

        You administer all types of leases within the software. You create the lease contracts (or PPE) in accordance with the current Swiss standards, with a professional formatting.

        You can handle lease terminations and renewals with the help of standard letters and automatic calculation of the associated deadlines for optimised processes.

        MCA Estate can help you keep track of incoming and outgoing tenants, taking care of rental contracts, digital inventories of fixtures and fittings, and various letters to landlords and other recipients such as the tax office.

        Mobile application

        The mobile application enables you to consult all relevant information on the building and the property concerned from a smartphone or tablet during the inventory of fixtures.

        The digital inventory of fixtures simplifies the process: you record your various observations directly in the mobile application, including photos if required.

        The persons concerned can sign the document directly on the mobile device.

        Once completed, the exit inventory of fixtures can then be compared with the entry inventory of fixtures to determine whether or not any work needs to be carried out.

        Customer area

        MCA Estate’s Guest Access module provides landlords and tenants with a portal enabling them to consult various information and documents (inventory of fixtures, lease contract, list of vacant properties, etc.) directly online.

        It is also possible, for example, to create a maintenance request form for tenants in the tenant portal so that tenants can easily make a maintenance request online.

        The requests will then be recorded in the form of a ticket using the CRM and integrated into the tenant file. You can then assess the demand and plan the necessary intervention.

        Management of maintenance tasks

        MCA Estate simplifies the monitoring of maintenance work on your buildings, from the initial report to the completion of the work and payment, with the management of requests for tender, work orders and payments to service providers and suppliers.

        The software keeps a history of the work by building, object, tenant, etc.

        Invoicing

        You can easily draw up invoices for rental payments or fees, with a professional layout predefined by you.

        Fees are calculated on the basis of pre-defined rates and services/hours provided, plus expenses and disbursements.

        VAT management is easy because it is integrated into the software and can be configured according to the standards in force.

        The management of unpaid bills is done within the software itself, with automatic alerts and reminders.

         

        Employee management

        Employees, whether administrative staff or janitors in charge of your various buildings, are also integrated into MCA Estate, and salaries and related deductions can be defined.

        Hours can be managed in different ways: either with fixed hours, or with a stamper connected to the software, or with manual time insertion.

        Holidays, paid leave and justified or unjustified absences are all integrated and can be set up according to your rules.
