MCA Utilities, a Swiss software for public infrastructure management, provides an overview of municipal infrastructure with availability and reservations for rentable spaces and equipment.
Visual management of your premises, commercial vehicles, warehouses or sports grounds from a satellite image or the map of the municipality downloaded directly into the software.
For rentable infrastructure, the software automatically generates invoices for the rental period according to the type of object rented and the additional services.

Administrative management of public facilities, with the possibility of adding taxes or discounts and invoices defined for rental periods. Follow-up of tasks and exchanges with tenants, with management of contacts and history. Also includes the possibility of associating your premises with events and tenants by period, with the overview of the technical information of the facilities, available from the photo or the maps of your municipality. Simple infrastructure management
Infrastructure management
You generate the various infrastructures of your municipality, whether they are premises, rooms, warehouses, technical equipment (utility vehicles, signalling materials, etc.), or sports facilities (football pitch, basketball court, gymnasium, etc.).
You associate equipment, material stocks or staff on site with a location. The equipment and material data is expanded, starting with the description, type of item, quantity, or associated supplier or rental rates. In the case of commercial vehicles, the data is also expanded to include type, make, model and registration.
MCA Utilities provides you with a graphical interface, map or image, that allows you to have a global view of your infrastructure. In this way, you can easily and efficiently locate and manage locations and facilities in real time, with a clear view of availability for the various communal activities or rentals.
By selecting a location on the map in the visual interface, you can directly consult the information related to the facilities or staff on site.
The Tracking module allows you to know the location of your vehicles (utility car, tractor, snowplough…) on a dynamic virtual map. You monitor the condition of each vehicle and plan preventive maintenance by recording the kilometres driven and/or time of use.
Lease management
MCA Utilities manages the rental of your various rooms, vehicles, equipment or other possible rental objects, offering you a clear view of the availability or planned events for each object.
You link an event to a hireable room, for example, by adding the organisers/tenants and any equipment provided. Information on planned events related to an infrastructure can be consulted from the visual interface.
The tenant data is expanded, starting with personal data, then contact and billing data.
The MCA Booking module, an online reservation system, simplifies the management of rentals. People wishing to rent a room, for example, can do so directly from your website, by selecting the object to be rented and the desired dates and times. A booking calendar shows the availability of rental items by date.
Booking-related messages, such as a confirmation message or a booking reminder, can be sent automatically to the tenant via SMS or e-mail.
Bookings are compiled in a calendar (synchronisation with Google calendars, Outlook, etc.) for a real-time overview of all bookings and information about them.
Rental payments can be managed through an online payment system or an automatic billing system.
Material stock management
You manage procurement according to stock levels and material or equipment requirements, with follow-up of supplier orders, deliveries and supplier invoice payments.
Supplier records are updated with each new transaction to provide you with a complete history.
If you have several storage sites, you can control the storage of your stocks and easily locate the items you need among your different sites.
Communication with tenants
You can generate automated emails and sms messages to communicate with your tenants about your services.
You can easily inform them of news that will be useful to them: changes in the rules of an infrastructure, new facilities available, etc.
Report
Management reports allow you to analyse the data collected by the software. You can format them as you wish to remove the elements that interest you.
This will allow you to observe high/low traffic periods so that you can plan infrastructure overhauls in off-peak periods.
Invoicing
Invoices for rental objects are defined for the rental period and are generated automatically according to the parameters you set.
VAT management is easy because it is integrated into the software and can be configured according to the standards in force. Other taxes or discounts may be added, such as a discount for regular tenants.
The professionally formatted invoices are generated using a pre-configured document template.
Unpaid invoices are managed within the software and reminders are as easy to use as the invoices themselves.
